Volvo Group increases efficiency using Microsoft artificial intelligence

Company improved and automated internal processes, saving more than ten thousand hours in manual tasks with Azure AI and Microsoft Azure AI Document Intelligence

São Paulo, December 13, 2023 – Volvo Group, a company known for its innovation in the manufacturing of trucks, buses, construction equipment and industrial engines, has successfully improved its internal processes by integrating Azure AI services and Microsoft Azure AI Document Intelligence. This strategic action aims to optimize the intricate workflow in processing invoice and claims documents, resulting in substantial time savings, totaling more than 10,000 hours of tasks that were previously performed manually.

The company adopted Microsoft tools to simplify document processing, emphasizing the extraction of data from various sources such as images, photographs, stamps and multilingual translation requirements, leveraging the advanced capabilities offered by Microsoft Azure.

“By harnessing our innovation potential to create solutions, we aim to improve the everyday lives of people globally. Our collaboration with Microsoft Azure AI, particularly AI Document Intelligence, has allowed us to revolutionize our internal document processing, optimizing workflows for greater efficiency,” said Annavi Pushpalatha, Head of RPA & Workflow Digitalization at Volvo Group.

Malladi Kumara Datta, RPA Product Owner at Volvo Group, explained the complexity of the challenges faced. “The diversity of data forms, including emails, digital and scanned PDFs, written invoices, stamped documents and multi-page tables, forced us to seek an innovative solution for simplified processing.”

Using Microsoft’s Azure AI services, the company deployed Azure Data Factory to pre-process documents, removing noise from scanned images, reordering sequences and eliminating unnecessary pages. The output, in XML or CSV formats, was then directed to specific divisions within the organization. Additionally, Power Automate made it easy to create a data table in SharePoint, allowing you to track document processing times and metrics for analysis through Power BI reports.

The rapid development process, in collaboration with Microsoft and its Customer Success Unit, transformed a concept into a fully operational solution within four months. Early success inspired additional plans to expand and integrate new features with the goal of improving the employee experience.

Since its implementation, Volvo Group has seen notable efficiency gains, saving approximately 850 manual hours per month, totaling more than 10,000 hours. Malladi Kumara Datta emphasized, “In addition to the evident time and quality improvements, our focus remains on elevating employee and customer experiences. Positive feedback from employees indicates greater satisfaction, providing them with more time for innovation and specialized tasks.”

Annavi Pushpalatha highlighted the direct impact on customer relationships, stating: “Internal satisfaction translates into a superior experience for our customers, reinforcing our commitment to delivering excellence.”
