BACKGROUND OF THE VILLAGES MANAGEMENT AND TEAM

Within the Sites and Infrastructures department, the mission of the Villages team is to design, define and deliver all operations of the Olympic and Paralympic Village (Athletes’ Village) and other athletes’ villages, while respecting the vision of Paris 2024 and stated objectives in terms of environmental excellence, heritage, celebration and security.

MISSIONS :  

Reporting to the VCC Village Senior Project Manager, the VCC Project Manager of the Olympic and Paralympic Village will be primarily responsible for the proper operational functioning of the Village Coordination Center, the communications and command body of the Olympic and Paralympic Village. Paralympic.

Roles of the Village Coordination Center:

  • Record, communicate, monitor and report problems and incidents
  • Execute problem resolution and incident and emergency response.
  • Provide key event information to the event team at MOC.
  • Manage and coordinate on-site communications (the event communications center and information desk)
  • Develop the mapping of internal communication flows for the event, clarifying the organization of the radio network (call signs, discussion groups, etc.)

Preparatory Phase:

Establishment of the Operations Coordination Center

  • Be responsible for the proper functioning of the coordination center: link between liaison officers, links between departments, reporting, etc.
  • Apprehend and understand the strategy for using communication channels Radios, telephones, IT tools, etc.
  • Ensure the proper use of these different communication channels
  • Understand the functioning and challenges of a crisis management process
  • Identify the stakeholders to be contacted as part of incident resolution / escalation / crisis management
  • Incident management, in support of the Village VCC Senior Project Manager
  • Handling of the first incidents and coordination of the various departments concerned
  • Incident monitoring (resolved/unresolved/escalating) and daily reporting to management

Games phase:

  • Incident Management & Reporting, in support of the Village’s Senior VCC Project Manager
  • Be the main point of entry for the Event Team regarding incident management
  • Answer telephone calls and transmit information to the areas and/or services concerned
  • Manage incident and crisis communications reported by site teams
  • Quickly identify and connect stakeholders for effective coordination of initial incident resolution actions
  • Guarantee the proper circulation of information within the Event Team
  • Know how to quickly identify incidents requiring escalation to management
  • Ensure the proper use of communication channels (push-to-talks)
  • Real-time monitoring of certain radio discussion groups
  • Real-time incident tracking (resolved, unresolved, escalating, crisis management)
  • Daily report to the coordination center management

REQUIRED SKILLS AND QUALITIES

  • You have experience in an operational context (events, hospitality, industry, etc.)
  • Experience in a call center would be a real plus
  • You have the ability to manage multiple tasks and stakeholders, establish priorities and meet deadlines;
  • You are very comfortable in your oral expression, both written and oral
  • You are proficient in IT tools (office automation, Office suite – Excel/Word mainly, web navigation)
  • You know how to keep your cool in all circumstances
  • You listen and know how to identify risky situations
  • Your English is excellent, both written and spoken;
