The administrative assistant plays an essential role in the functioning of a company. She represents the pillar of administrative support, on which the whole team can count. In addition, she is the person who finds solutions for clients and for her colleagues.

The tasks that an administrative assistant will be called upon to do vary. This can range from fairly recurring administrative tasks, such as managing emails, formatting and archiving documents, to tasks that will be more similar to those of a receptionist, such as handling telephone calls, welcoming and informing the audience. It may also have tasks related to the accounting field, such as the reception and relay of disputes or the drafting of payslips.

SKILLS

Here is a description of some essential skills for the field of administrative assistance.

Good oral and written communication skills : If you are in the front office, you will often be interacting with different people, whether it is taking phone calls or writing emails. For this, the administrative assistant must listen to people and welcome them.

Good organization, management of priorities and respect of deadlines : Being able to multi-task is a highly sought-following skill, as it helps to prioritize, as well as meet deadlines.

Sense of service and ability to work in a team : You will be in contact with various collaborators and clients. It is therefore important to have a service-oriented attitude, to be friendly and to collaborate effectively with other team members.

All these skills make it possible to succeed in finding solutions in line with the expectations of an often demanding clientele, in a short period of time, thanks to the spirit of initiative and the ability to organize.

For example, I had similar tasks as a telephone operator and night supervisor. I had to manage responsibilities, while adapting to various situations and find solutions in a limited time, in order to meet the client’s needs. I also had to have good communication skills, as I acted as an intermediary between customers and drivers. Good organization and excellent use of software allowed me to manage priorities and meet deadlines.

You will frequently use MS office software, such as Microsoft Word, Excel, PowerPoint and Outlook. You’ll need to be comfortable using these tools to create and format documents, manage spreadsheets, prepare presentations, and manage your email inbox.
